Terms & Project Policy
Clear scope. Honest terms. No surprises.
These terms apply to all website design and development services delivered by John Hlutea. By engaging a project, both parties agree to these terms in writing (WhatsApp or email confirmation is sufficient).

1. Scope Agreement
Every project begins with a written scope agreement before development starts. The agreement confirms:
- Package tier (Digital Presence / Digital Identity / Digital Ecosystem)
- Website category (NGO, School, Business, Personal Brand, etc.)
- Specific pages and features included
- Pages and features explicitly excluded
- Delivery timeline (starts from the date all required content is received)
- Revision rounds included
- Post-launch support duration
- Payment schedule
Any feature not listed in the agreed scope is out of scope. Additions are quoted and agreed in writing before work begins.
2. Payment Policy
Project Payment Structure
50% advance — Due before development begins. No advance = no project start.
50% balance — Due before the domain is pointed to the live site and the site goes public. The site is not launched until final payment is received.
Maintenance Billing
Maintenance plans (Community Care, Active Care, Full Care) are billed monthly, upfront at the start of each billing month. No maintenance work is performed until the monthly payment is received.
Extra Work & Add-ons
Any feature, page, or service not included in the original scope is quoted and invoiced separately before work begins. Add-ons require 100% advance payment.
Common add-ons: extra pages (₹2,000–₹4,000/page), payment gateway integration (₹5,000–₹15,000), logo design (₹5,000–₹15,000), content writing (₹2,000–₹7,000/page), extra revision rounds (₹1,500–₹3,000/round).
Urgent Delivery Fee
Standard delivery timelines are stated in your package. Requests for delivery faster than the standard timeline incur a +25% urgency surcharge on the total project price. Rush delivery requires written agreement before project start.
Currency
All website service prices are in Indian Rupees (INR) unless otherwise specified in writing. Consulting and advisory services may be quoted in USD for international clients.
3. Client Content Responsibility
The client is responsible for providing all content before the build begins. This includes:
- —All text for every page (in a Google Doc, Word file, or WhatsApp message)
- —High-resolution logo (PNG with transparent background, or SVG)
- —Brand colors and reference websites
- —All photos and images for the website
- —For NGOs: registration documents, team photos, activity photos, donation account details
Development cannot begin until all required content is received.
Content writing is available as an add-on service (₹2,000–₹5,000 per page in English; ₹3,000–₹7,000 for Hindi or Burmese bilingual). This must be agreed before the project scope is confirmed.
4. Timeline & Content Delays
The delivery timeline starts from the date all required content is received — not from the date of advance payment.
If content is not provided within 7 days of project start, a reminder is sent.
If content is not provided within 14 days of project start, the project is paused.
If the project remains paused for 30+ days due to missing client content, a ₹3,000–₹5,000 restart fee applies when the client is ready to continue. The advance payment is not refunded.
5. Revisions Policy
Revision rounds included per package:

A revision round means one consolidated set of feedback — delivered as a single message or call. Drip-fed daily changes do not qualify as a single round.
A revision covers changes to existing content (text edits, image swaps, layout adjustments). Adding a new page or new feature is a scope change — not a revision — and is quoted separately.
Additional revision rounds beyond the included count: ₹1,500–₹3,000 per round, invoiced before the round begins.
There are no unlimited revisions on any package.
6. Hosting & Domain Ownership
The client owns and pays for their own domain name and hosting account. John recommends providers and handles the technical setup, but the account credentials and renewal responsibility belong to the client.
John is not responsible for site downtime caused by the hosting provider, domain expiry, or hosting account suspension — unless the client is on an Active Care or higher maintenance plan, in which case renewal reminders are included.
Optional managed hosting add-on: John purchases and manages hosting on the client's behalf at a ₹500–₹1,000/month markup above actual hosting cost. This requires an active maintenance plan.
7. Maintenance
Maintenance is not included in the project build price unless explicitly stated in the scope agreement.
Post-launch support (30, 60, or 90 days depending on package) covers bug fixes from the original build only — not content updates, new features, or third-party service failures.
After the post-launch support period ends, all ongoing support, updates, and maintenance require an active maintenance plan (Community Care, Active Care, or Full Care).
Maintenance plans can be signed on the day of launch at a 10% discount for the first 3 months.
8. What Is Never Included by Default
Unless explicitly listed in the scope agreement, the following are never included in any package:
- —Logo design or brand identity
- —Copywriting or content writing
- —Photography or videography
- —SEO campaigns or ongoing keyword management
- —Social media management or posting
- —Google Ads or Meta Ads setup or management
- —Mobile app (iOS/Android)
- —Email marketing campaign management
- —Data migration from old websites
- —Legal or compliance reviews
- —Third-party API integrations beyond package scope
- —Hosting or domain renewals (unless on maintenance plan)
- —Training beyond the included handover session
- —Unlimited revisions
9. Legal & Compliance Responsibility
John Hlutea is not a legal advisor. All legal and regulatory compliance is the client's responsibility, including but not limited to:
- —NGO registration, 12A/FCRA status, and foreign contribution compliance
- —Donation processing authorization and tax receipt obligations
- —Data protection and privacy compliance (DPDP, GDPR where applicable)
- —Accessibility compliance
- —Business registration and terms of service for e-commerce
Payment gateway integrations (Razorpay, PayPal, etc.) are set up on accounts owned and registered by the client. John provides technical configuration only.
10. Final Approval Before Launch
The client reviews and confirms the completed website before it goes live. Written approval (WhatsApp or email) is required before the domain is pointed to the live site.
Once the client approves and the final payment is received, the site is launched. Post-launch revision requests beyond the included rounds are charged as add-ons.
11. Cancellation & Refund
If the client cancels the project after the advance is paid but before development begins, 50% of the advance may be refunded (covering admin and scoping time). After development begins, the advance is non-refundable.
If John is unable to complete the agreed project due to circumstances on his side, the unused portion of the advance is refunded.
Monthly maintenance plans can be cancelled with 30 days written notice. Fees for the current month are non-refundable.
